01 · Problem
What they were running on
A registered charity running the official Neighbourhood Watch program for the City of Mississauga, with hundreds of watches, volunteer team leads and residents across the city. Intake lived across a Wufoo form, a calendar invite, a DocuSign envelope, a police records request and a spreadsheet nobody fully owned. Compliance tracking, ward assignments and program activities all moved through email. Anyone covering a vacation couldn't pick up where the last person left off.
02 · Solution
What we shipped
One app with two sides. The public side is a short sign up that matches each resident's address against every watch boundary in the city, then routes them: join the watch on their street, start a new one with a consultation, or join the waitlist. The back office holds watches, team leads, members, ward boundaries, police checks, agreements, activities and CPTED audits on one dataset, with coordinator access scoped to their own wards. Automatic emails carry people through every step.
03 · Outcome
What changed after
The intake spreadsheet went away. New sign ups arrive already matched to the right watch. Staff open the dashboard in the morning and see the day's queue. Police check renewals stopped being a surprise. Coordinators run their own wards without asking the office for a list, and board reporting moved from a week of preparation to a tab.

04 · The public side
What residents see.Five questions, then the right watch.
Residents never see the back office. They answer five questions, one per screen, and their address decides what happens next. Nothing is saved until they submit, and the whole flow works the same on a phone.
One question at a time, with progress shown and Enter to continue. No account, no long form.
Residents apply through a public form. The system finds their watch by address, picks a team lead, and books a consultation if there is no watch yet. Staff approve, the rest is automatic.
Police check and signing pipeline
Team lead onboarding tracks every step from application to active. Police check expirations surface on the dashboard. Renewals get a reminder before the date, not after.
Ward scoped coordinators
Coordinators see only the wards they own. Members, watches, team leads, activities, and reports all filter to their assignment. One app, the right slice for everyone.
Activities and corrective actions
Every Neighbours Night Out, charity drive, audit, and corrective action logs against the watch. Trend tiles, type breakdowns, and the recent activity feed live on the dashboard.
Board ready reports
Member counts by ward, intake pipeline by stage, activity by type, compliance by team lead. Filters built into the table. Export the figures the funder asks for in a click.
